Meeting the conditions of your offer

Congratulations on being offered a place!

Below you can find more information about your offer and how to show you have met any conditions of offer or registration. If your conditions of registration include a DBS, Overseas Police Check or Medical check please make sure you read these sections carefully.



Conditional offers

A conditional offer means that you are required to meet certain conditions before beginning your degree with us.

Any conditions of offer will be detailed on UCAS HubDfE Apply or your offer email if you applied directly. Your conditions are also on your applicant portal (for UCAS/PGCE applicants 24 hours after your offer email).

A condition of offer may be:

  • Getting the required A-level results (or an equivalent qualification).
  • Passing your honours degree at the required grade.
  • GCSEs


Conditions of registration

Any conditions of registration will be listed in your offer communication. A condition of registration may be:

  • Sending us further information such as references
  • Undertaking criminal background and medical checks for health, education and sport (DBS only)
  • Sending us evidence of your GCSE and/or Level 3 qualifications
  • Satisfactory clinical visits forms


Unconditional offers

A small number of applicants each year receive an unconditional offer. This is an offer of a place on your chosen course with no academic conditions or requirements. For example, if you have taken a break between leaving school or college before applying to university, you will already know your GCSE and level 3 results when you apply, enabling us to make you an unconditional offer.
Even with an unconditional offer we still need to see evidence of your qualifications and you must provide these as this evidence is a condition of you registering on the programme. (see below for further details on when to provide this evidence). Please give yourself enough time to apply for new copies of certificates if you cannot locate them.



Accepting your offer

Once you have decided that the University of Cumbria is the right place for you, it is time to accept your offer. 

  • If you are a UCAS applicant, you can accept your offer through UCAS Hub
  • If you are a direct applicant, you can accept your offer through your Applicant Portal.
  • If you have applied for a PGCE, you can do this through DfE Apply

Academic qualifications

If you have been offered a place subject to obtaining UCAS Tariff points, please read your conditions carefully. For some courses we allow you to make up some of your UCAS points from other UCAS tariff based qualifications outside the A Level (or equivalent qualification) that make up the main of your offer (it will be detailed in your offer if this is applicable).



A Level/BTEC results/Access to HE

If you are currently studying your A levels/BTEC/Access to HE qualifications you do not need to provide these results as we should automatically receive this information from UCAS (If you have applied directly you MUST provide us with this information). Applicants that are studying Access to HE programmes may be asked to provide their transcript by admissions.

If your results are less than the required grade detailed in our offer to you then we may still be able to consider you and the admissions office and tutors will be on hand to discuss your options.



Honours Degree

If your offer is for a postgraduate course, please upload your degree certificate and transcript to the Applicant Portal. For PGCE applicants we must see the original copy of your certificate; for School Direct applicants please take your original certificate to your school, for campus-based students please send your certificate to PG Admissions when requested.



Evidence of Mathematics/English/Science GCSE

If you have applied for a course that requires evidence of passing specific GCSEs (or equivalent qualifications) you will need to provide confirmation of your results in August as we cannot obtain this information from UCAS.
If you have already gained these qualifications, you must provide documentary evidence of these.
We would remind you that ALL health and education students must hold passes at grade C/4 GCSE or equivalent, as outlined below:

  • PGCE Secondary: GCSE English Language, Mathematics
  • BSc Diagnostic Radiography / Healthcare Science / Paramedic Science / PGCE Primary / BA Primary Education: GCSE English Language, Mathematics, Science
  • BSc/MSc Physiotherapy & BSc/MSc Midwifery: GCSE English Language, Mathematics, Biology or Combined Science
  • BSc/MSc Occupational Therapy: GCSE English Language
  • BA/MA Social Work: GCSE English Language, Mathematics
  • BSc/MSc Nursing (Mental Health, Learning Disabilities, Child, Adult): English Language, Mathematics. Functional Skills level 2 acceptable as an alternative


What happens if I can’t find my certificates?

Failure to produce evidence of qualifications which meet entry requirements by the 6th September 2023 for September programmes (31 August for PGCE programmes), or 4 weeks before the start date for courses that start in any other month, will mean that you may not be permitted to register and you will forfeit your place on the course. Access to bursaries and loans will be withheld until you have completed all admissions checks for your course.

We can accept certificates, candidate statement of results, official transcripts or a signed letter on headed paper from your school, college or university confirming the qualifications awarded to you. We can also accept an email from your school or college sent directly to the Admissions Office dealing with your application (please note that for PGCE, letters/ emails from a university confirming results can only be accepted temporarily whilst you wait for your certificate/ transcript).

If you have lost your level 3 or GCSE certificates you must take steps to obtain replacements and we strongly recommend you do this without delay (as these can take several weeks to arrive). Here are links to the most common examination board websites from whom you can order replacements.



Admissions with Advanced Entry/ Admissions to a Top up programme

You will need to provide a certificate/ transcript of your results from your previous institution. This should include the module titles, marks and grades, and the number and level of academic credits gained for each module.



DBS & Criminal conviction self disclosure (education, health and sport)

It may be required by law to undertake a DBS & Self Disclosure check due to the area of work in which you wish to train. Click below to find out more:

You will be asked to complete a medical clearance questionnaire which will ascertain your fitness for the course. Click the link below to find out more:

NMC reference (BSc/MSc nursing, BSc/MSc midwifery)

If as part of your offer conditions you have been asked to provide an additional reference which meets the requirements of the NMC (Nursing and Midwifery Council) you will have been sent an e-mail with further information on what you need to do.

Clinical visit forms

Health care experience/hospital visit (BSC Diagnostic Radiography or Healthcare Sciences)

If your offer includes the above, you must complete this experience/visit and the relevant report/visit form and return to the Health Admissions office no later than 31 July. We will be looking for a satisfactory outcome in order to confirm your place.



Completing the next steps of your journey

If you accept our offer as your firm choice, we will contact you from late Spring onwards (for September entry) or November onwards (for January entry) to begin any checks to meet your conditions of offer and conditions on registration.

The checks will range from proving the qualifications you denoted on your application form (all applicants must do this) to a criminal background check or medical, depending on your course. Please check your offer communication which will detail the checks relevant to yourself. We will then write to you when it is time for you to start your next steps.

All checks need to be completed by 6th September for courses commencing in September (31st August for PGCE) and mid-December for courses starting in January. At Registration, if you have not completed all your checks you may be permitted to attend but will not have access to bursaries and loans which will be withheld until you have completed all outstanding checks. If you are allowed to attend, it will be for a limited period of time only so we strongly recommend you complete your checks when we contact you.



I already have a qualification but I’ve still been made a conditional offer.

My offer says I can take 16 points from another tariff based qualification – what types of qualifications can these be?

Can I use points from the same subject across different qualifications (e.g. AS Biology and A level Biology)?

My qualification is not listed in any of the groups, will my offer still stand?

I cannot make up the number of qualifications from the options give, will my offer still stand?
