Graduation Privacy Notice

Introduction

This Privacy Notice explains how the University of Cumbria (“we”, “our”, “us”) will handle your personal data when you attend our graduation ceremonies. 

It is intended for graduating students, staff and guests attending graduation ceremonies and should be read together with our General Privacy Notice.



How we get your personal data?

We collect personal data from:

  • Your Student Record
  • You when you complete our graduation registration or booking forms
  • Video footage and photos when you attend the graduation ceremony


What personal data do we collect?

From your Student Record

  • Your name and student number,
  • Qualifications you are awarded,
  • Contact details

When you register or book to attend the graduation ceremony

  • Number of guest tickets you require
  • Where applicable, updated contact details
  • Any mobility or dietary requirements for you and your guests

Video footage and photos

  • Live streaming of the event footage
  • Videos and photos of the graduation ceremony

 We also collect images and names of university staff and new Honorary Fellows.



What do we do with your personal data?

We use your personal data to:

  • Identify which ceremony you are eligible to attend
  • Make necessary arrangements for the conferment of your award (including confirming information in support of your gown hire and compiling the graduation ceremony programme)
  • Invite you to attend the graduation ceremony
  • Make appropriate arrangements if you need these to attend the event
  • Live stream the Graduation Ceremony and broadcast via the University of Cumbria YouTube Channel to allow friends and family who are unable to attend to view the ceremony
  • Market and promote our activities (images and videos footage of the graduation ceremonies)


Our legal basis for processing your personal data

We process your personal data because this is necessary for:

  • The performance of a contract with you
  • The performance of a ‘Public Task’ in this case to award degrees and other academic awards
  • Our or a third party’s legitimate interests as you long as you expect this and it within your right e.g., we ask you to tell us if you don’t want your name on the Graduation website


Who we share your personal data with?

We share your personal data with our employees and agents on a need-to-know basis only and with:

  • Attendees and viewers of the ceremony as this is a public event.
    • Graduating students’ name, and award title will be called out during the ceremony and published on the Graduation website.
    • Graduating students’, staff and guests’ images will be streamed and broadcasted via the University’s YouTube Channel
    • Senior staff and new Honorary Fellows names and images will be published in the printed program.
  • Our gowns providers for them to provide the appropriate gowns
    • Graduating students’ name, award level, name and student ID
    • Staff and guests’ name, email address, title, institution from which they graduated, year of award, level of award, gown size.


How long will we keep your data for?

We aim to keep your personal data only for as long as necessary for the purposes listed above.
