This Privacy Notice explains how we process your personal data when you use our Sports Facilities. This includes when you take part in UoC Active activities.
This privacy notice is intended for students, staff, alumni and members of the public including children who use our Lancaster Sports Complex, Carlisle Sports Centre and Ambleside Gym.
It should be read together with our General Privacy Notice.
How we get your personal data?
We get your personal data from the following sources:
Directly from you e.g.
- When you complete our forms e.g. membership or booking form
- Communicate with us or make an enquiry or facility booking
- When we perform tests on you
Indirectly from e.g.
- Third parties e.g. your parents or representative
- Our systems if you are a student or member of staff
What Personal Data Do We Process?
Information we process depends on your relationship with us and includes your:
- Name and contact details
- Age group e.g., above 16 or 55
- Payment information e.g., bank details
- Health and medical information including any disabilities
- Children’s details including physical, mental or learning disabilities
- Photographs including CCTV footage
Why We Process Your Personal Data?
We process your personal data to:
- Allow you to use recreational facilities in our Sports Facilities
- Deliver specific services you pay for e.g. performance testing service
- Confirm eligibility for membership or discounts
- Manage bookings for sports activities, fitness suite
- Collect payments from you
- Ensure you or your children are fit enough to use our facilities
- Communicate with you e.g. notify you about changes to our services
- Produce marketing materials
What is our legal basis for processing your personal data?
The lawful basis we rely on for processing your personal data is because it is necessary to:
- Perform a contract with you
- Pursue our or a third party’s legitimate interests e.g., producing marketing materials. We only do this if you expect us to use your personal data in this way.
- Comply with our legal obligations e.g. Health and Safety laws
- Protect your or someone else’s vital interests e.g. if we need to respond an emergency

How long will we keep your personal data?
We will store your personal data for as long as you are a member of the Sports Facilities and participate in our recreational activities and for a reasonable time that. This is usually 6 years from the membership ends or the time your last activity.
